Using CS Gold AdminWeb to manage access

Certain departments have designated staff or faculty to manage access for their locations. If you are reading this article and are not a designated staff or faculty with this access, please refer to Using a HuskyCard for door access.

Managing access

Use the following procedure to log in to CS Gold WebCard Center:

  1. Visit the CS Gold WebCard Center.
  2. Log in with your Michigan Tech account name and password.

1.2 Patron Look up

The Web version of the Patron Lookup allows you to maintain the following information:

  • General patron
  • Access assignments
  1. Select Patron Lookup.

  2. Search for a patron.
  3. Enter all or part of the patron institution key (PIK) and select OK. The patrons who match the PIK are displayed. You can also search by userid or M# in this field.
  4. Enter all or part of the last name. The system will automatically search for and display the patron names that match the last name.
  5. This read-only field is populated after a patron is selected.
  6. You can also use the Advanced Search feature to search for a patron. Select "+" to add another search line. Click "–" to remove a search line. MTUID: Under “Patron Media” select “040 – MTUID” and type in the patron’s M Number in the box to the right of  “040 - MTUID”, press “Search” and select the desired patron.

1.3 Edit Access

Under Patron Groups on the General Info tab, a patron’s groups are displayed.  You will only have access to edit those groups you control.

1.3a Add Access using Patron Lookup

  1. Select Patron Lookup on the main menu.
  2. Search for patron for which you would like to add access.
  3. Select Edit under Patron Groups.
  4. A drop-down box will appear near the bottom of the list.  Use this to select the access you would like to add to the patron.
  5. Please enter effective and expiration dates, if applicable.  
  6. Select New.  This will put the changes into a pending state.  
  7. Select Save.  This will commit the changes.

1.3b Remove Access using Patron Look up

  1. Select Edit under Patron Groups.
  2. A red X icon will appear to the left of the group if you have the ability to remove that access.
  3. Select the red X icon.  The text will change to strikethrough red to visually indicate what will be removed.
  4. Select Save.

1.3c Add access using Patron Groups

Using the Patron Groups feature is useful in the event you would like to adjust multiple patron’s access.  Use the following steps to add access via Patron Groups:

  1. From the main screen, select Patron Groups from the menu.
  2. From the list of patron groups, use the search function on the top right to find the group you are looking for. *Note: Groups you are not able to edit will appear greyed out, while ones you are allowed to edit will appear with black text.

  3. Select the group for which you would like to add patrons.
  4. The patron group list will load and show all patrons in that group.  You can now search for users by entering PIK, Last Name, or MTUID.
  5. Add users as needed.  
  6. Set effective/expire/comment fields as needed.  
  7. Select Save Group when completed. This will add all users if they do not already exist in the patron group.  

1.3d Remove access using Patron Groups

  1. From the main screen, select Patron Groups from the menu.
  2. From the list of patron groups, use the search function on the top right to find the group you are looking for. *Note: Groups you are able to edit will appear greyed out, while ones you are allowed to edit will appear with black text.
  3. Select the group from which you would like to remove patrons.
  4. Here you can search for users you would like to remove.  You may also scroll through the list and click the checkbox to select the patron.
  5. You may click the red button Remove selected users to remove the patron(s) from the group.  In practice, we like to set the expiration and leave a comment as to why their access is being expired.  
  6. Select Save Group when completed.  

Log Out

Use the following procedure to log out of CS Gold WebCard Center:

  1. On the CS Gold WebCard Center menu, select Logout.
  2. At the Are you sure you want to log out? prompt, select Yes. You are logged out of WebCard Center.

Glossary

  • LCC: see Lost Card Code.
  • Lost Card Code: Lost Card Code range is from 0-9 and is used to prohibit unauthorized/multiple cards being used for a single patron.
  • Meal Plan: Any plan purchased as a number of meals.
  • MTUID: A patron’s M-number.
  • Patronid: Used to uniquely identify patron within the abyss.
  • Patron Institution Key: Used to uniquely identify patron within the CS Gold system.  MTU’s system uses a 7-digit number preceded by 00 for people; resulting in a 9-digit identification key.  Non-people cards lead with 11 (i.e. Special Access Cards).
  • PIDM: Used to uniquely identify a patron within Banner.  It is the same rightmost 7-digits used in the Patron Institution Key.
  • PIK: see Patron Identification Key
  • SVC: see Stored Value/Credit
  • Stored Value/Credit:  Any plan purchased as a number of dollars.
