Setting up a recurring meeting and sharing the link with students

Active Michigan Tech faculty, staff, and students can set up a recurring meeting, set additional meeting options, and share the meeting link.

Body

All active faculty, staff, and students have access to Zoom. You can schedule meetings that occur once or that repeat weekly, daily, etc. 

For faculty, it is recommended a recurring meeting be set up for each course. Please note, if you plan to use a poll, you will need to create individual meetings for each session, as polls are linked to the meeting.

Scheduling a recurring meeting

  1. Visit the Michigan Tech Zoom page.
  2. Select Sign In.
  3. Enter your Michigan Tech account name and password.
  4. Under Personal, select Meetings from the left sidebar menu.
  5. Select Schedule a Meeting.
  6. Select the date and duration of your meeting. To make the meeting recurring, enable the Recurring Meeting checkbox. You can specify the frequency and number of recurrences. 

Setting additional meeting options

As you set up your meeting and choose your preferred security settings, instructors should pay attention to the following settings when setting up meetings for courses. Under Meeting Options, the following options are available:

  • Automatically record meeting - This is recommended for most instructors. You will have the option to record locally to your computer or in the cloud, which is recommended and required if you are using the Panopto-Zoom Integration.
  • Enable Join Before Host - It is not recommended to turn this on if you are using the "Record meeting automatically" feature.

Inviting attendees and sharing the meeting link

After you have scheduled and saved your meeting, your scheduled meeting summary will appear, along with options for inviting attendees and sharing the meeting link.

For instructors, it is highly recommended that you share this link in your Canvas course shell. An alternative is to add the meeting to Google Calendar and share the meeting with students as a meeting invitation. You can do this by:

  • Use the Google or Yahoo Calendar tools to share your meeting
  • Copy the Invite link to share with attendees.
  • Copy Zoom's meeting invitation by selecting the Copy Invitation link.
