Requesting Computer Accounts/Access for New Employees

Regular employees

Employees are hired through the standard hiring process and are provided with their Michigan Tech credentials (M# and userID/email) on their first day of work, during New Husky Orientation. Human Resources provides the supervisor with the M# and user ID to begin the account access process. The supervisor should follow the request procedures listed below.

Temporary employees

Accounts for temporary employees are created once they successfully complete the hiring paperwork and background check. Human Resources provides the supervisor of the new employee's Michigan Tech credentials (M# and userID/email) to begin the access process. The supervisor will follow the request procedures listed below.

Visitor ID and Email request form

The visitor ID/Email process is a collaboration between Human Resources and the Van Pelt and Opie Library.  The Visitor ID, Email, and Access Request Form can be found on the Human Resource's website.

Requesting Computer Accounts/Access for New Student Employees

New student employees are added to payroll when an EPAF (Employee Personal Action Form) is submitted and approved.  Access to departmental drives, Banner, door, and key access are requested using the processes listed below.

Types of Access

Banner, WebFOCUS, and Perceptive Content access

If the new employee will use these applications in their work, complete the access request forms at Banner Access and Support Contacts

Multi-drive access

The supervisor contacts Michigan Tech IT, by emailing it-help@mtu.edu, to request drive access for the new employee. The supervisor will need to include username or M#, the name of the drives needed, and an expiration date for access.

Building and HuskyCard access

Only individuals who have an ongoing need to access University buildings after normal business hours are eligible for exterior door accessibility using their HuskyCard. Authorized departmental personnel can request building and room card access by emailing card-access@mtu.edu. HuskyCards are not to be loaned or transferred.

Keywatcher access

The departmental key coordinator emails it-help@mtu.edu to request access to the Keywatcher system.

The supervisor/representative will need to include username or M#, the Keywatcher site location, and the Keywatcher profile needed.  (Representatives: Housing – Amy Raffaelli, MUB – Laura Harry, Facilities - Shannon C. Brodeur/Robert Garnell)

Keys

Public Safety and Police Services administer physical keys for buildings and offices. To request a key, the designated departmental key coordinator visits the PSPS website and completes the form.

Printer/copier access

Employees are able to add most printers to their computers without requesting access Adding printers to an ON-Domain Windows Computer. If a department places restrictions on certain printers, then the supervisor contacts Michigan Tech IT, by emailing it-help@mtu.edu, to add printing access the new employee to a specific printer/copier. 

Removing access

Follow the Separation/Transfer Checklist provided by Human Resources.
